Administrative Assistant (Hyderabad)

Responsibilities
- Provide practical and administrative support to the teams in Hyderabad
- Day to day calendaring and scheduling
- Manage calendar for site manager
- Coordinate complex domestic and international travel arrangements
- Welcome and look after visiting directors and VIP’s
- Prepare expense reports
- Daily liaison with other departments and the teams in Hyderabad
- General office duties as needed
- Organizing events and offsites
- Manage vendor facilities-related contracts and coordinate corporate requirements in the Hyderabad office
- Manage on site mailroom functions including shipping and receiving as well as postal deliveries
- Coordinate all food services per Food Service Manager’s direction
- Ensure all facilities requests are dealt with in a timely manner
- Work with headquarters on the acquisition of all goods and services required for site
- Work closely with IT to support the proper operation of the site and coordinate moves, additions and changes
- Liaise with Security Team at headquarters to support the operation of systems and programs to properly operate the facility
- Perform all reception duties as stated in the guidelines set forth by headquarters
- Responsible for ordering all stationery, re-stock shelves and presses
- Order and coordinate all ergonomic needs as required by the ergonomic program
- Liaise with the facilities project manager on any facilities related projects as the local contact
Requirements
- At least 5 years of full-time administrative experience
- Ability to interact with Senior Level Executives
- Strategic thinker regarding calendar and meetings
- Exceptional written and verbal communications skills
- Experience coordinating schedules in multiple time zones
- An understanding of confidentiality issues and the use of discretion is essential
- Be self-directed and take initiative
- Ability to prioritise and multi-task
- Excellent oral and written communication skills
- Ability to effectively interact with all levels of the organization
- Super strong scheduling and travel coordination skills
- Thrive in a fast-paced atmosphere
